Creation and use of mailing lists

  • Email distribution lists offer an automated mechanism for distributing emails to multiple users simultaneously, eliminating the need for the sender to manually enter each recipient’s address. Users can send an email to a virtual address (e.g., listname@lists.auth.gr), that in turn is automatically forwarded to all registered members of the list. Participants in a list typically share common interests and wish to exchange emails and communicate on those topics.

    Aristotle University of Thessaloniki (AUTh) users can create and manage mailing lists, as well as subscribe to existing ones, through the platform available at https://lists.auth.gr/.

    Each list has a maximum message size limit of 1MB. If there is a need to send larger messages, this can be arranged in coordination with the Digital Governance Unit (DGU). However, it is recommended to upload large files to a website or file sharing service and share the link in a message to the list.

    In addition to the email list service, AUTh provides the “AUTh Member Communication Services”. This service allows targeted groups of members within a department or faculty to receive updates using dynamic email distribution lists. The subscription lists are managed by the Digital Governance Unit through an automated system. For more information, please visit the service’s webpage.

    1. You must have an active institutional user account.
    2. To create a new list, you must be a permanent staff member at Aristotle University of Thessaloniki (AUTh).
  • To create an email distribution list, simply log in to lists.auth.gr, Sign in by using your institutional user account credentials, and select “Create list.” Once your request for list creation is approved, you will receive a notification.

    The following are specific cases for creating email lists:

    Academic Department, Unit, or Laboratory Lists
    In this case, the request must be signed by the Head of the Department, the Director of the Unit, or the Laboratory Director.

    Lists for Other Academic or Administrative Units of the University
    This refers to officially recognized units of AUTh by the Rector’s Decision. The request must be signed by the Head of the Unit.

    Research Group Lists
    For groups that include members of the AUTh community, this applies to activities that are not directly related to AUTh’s academic units. The request must be signed by the head of the research group.

    Conference Lists Organized by AUTh’s Academic or Administrative Units
    The request must be signed by the Head of the Academic Unit or the conference organizer if they are a permanent member of the academic unit organizing the conference.

    Conference Lists Not Organized by AUTh’s Academic or Administrative Units, but with AUTh Participating Members
    The request must be signed by the AUTh academic unit member participating in the organization of the conference.

    Lists for Associations
    In the case of associations or scientific societies within AUTh, the request must be signed by the legal representative of the association. The request is submitted for approval to the Rector’s Office, and if approved, it is forwarded to the Digital Governance Unit (DGU).

    In the specific case of needing to notify groups of members within a School/Faculty (e.g., students, faculty, staff), please contact the School’s/Faculty’s Secretariat, where the relevant mailing lists, dynamically updated for recipients, have been provided by the DGU.
