Sending announcements via email to the members of academic or adminstrative units
  • The AUTh Member Communication Services provide an easy and effective way for academic and administrative units to send email announcements to their members, based on their official affiliation. Announcements about activities, services, current events and more are delivered, in the simplest way, to targeted user groups, enhancing university cohesion and promoting its initiatives within the academic community and the broader local community.

    Recipients are determined based on their unit and role within the University’s Registry (PYKA) and are grouped into more specific categories or more general ones (e.g., faculty members). You can view all recipient categories in the “Other Information” section.

    The academic or administrative units of AUTH that are eligible to use these services are listed here. Each unit can send messages directly to the users of its sub-units, while the central services of AUTH can do the same for all users across the university.

  • The Academic or Administrative Unit and its members must be registered in the University’s Registry (PYKA).

  • You can use the service with your preferred email client application. As an authorized moderator you:

    Your message will be delivered shortly to the corresponding members of your Unit who have an active institutional account.

  • At this stage, the Digital Governance Unit (DGU) has granted authorization to send messages using the dynamically updated mailing lists to the head of each Academic Unit (in the case of a Faculty, this is the Dean and for a School, the Head) as well as the School’s Secretariat. No request is required to activate the service.

    Each authorized member can view the mailing list they are allowed to send messages to by visiting and logging in with their institutional credentials at https://lists.auth.gr/. These addresses follow the format announce-unit-property@lists.auth.gr where unit refers to the school/faculty and property refers to the member group (e.g., student for students, faculty for teaching staff). Detailed address information is provided under Other Information below.

    Each authorized moderator can send messages on behalf of their unit to these addresses. To protect against viruses, prevent errors, and confirm authorization, a special approval email is sent shortly after the initial message. The moderator must reply affirmatively to this message for the email to be distributed to the unit members.

    Only messages with public content may be distributed, as—due to technical reasons—approval emails are received simultaneously by all authorized moderators, even from other units that share the same list.

    The name of the list appears as the sender. It is recommended that senders set a Reply-to address if they want recipients to be able to respond to a message. If no Reply-to address is specified, replies are automatically rejected.

  • Lists that are not used for an extended period of time may be revoked by the Digital Governance Unit (DGU), in accordance with the general regulations of the Email List Service.

  • This service is a special use case of the Email List Service. The terms and conditions of use that apply to the Email List Service also apply here.

    The dynamic mailing lists are centrally managed by the Digital Governance Unit (DGU), which grants aauthorization according to the administrative hierarchy. In addition to the Schools/Faculties of AUTh, higher-level or administrative units—such as the Rectorate, the Quality Assurance Unit (MODIP), the Digital Governance Unit (DGU), etc.—may also use the same lists.

  • If you are an administrator:

    • When sending a message to the dynamic lists, configure your mail client to include the desired Reply-To address (unless you prefer not to receive responses).
    • Avoid sending multiple messages in a short period of time (in line with good practice use policy).
    • Technical limitations may lead to delayed message processing outside of business hours (see Email List guidelines), or the application of other technical measures (e.g., consolidating multiple messages into a single digest, etc.).
    • You may visit https://lists.auth.gr/ for any additional features or information related to a list.
